Edit Items in Bulk
When you need to update details for multiple items at once โ such as changing prices after a supplier update, reassigning categories, or updating GST rates after a tax change โ editing each item individually is time-consuming. The Edit Items in Bulk feature lets you select multiple items and update their details in one operation. This is especially useful during seasonal price changes, GST rate revisions, or when reorganizing your item categories.
Steps
- Navigate to Inventory > Items from the sidebar to view your full product catalog. This is the central hub for all item management operations, including bulk editing.
- Click the "Bulk Edit" or "Select Multiple" option at the top of the items list. This activates selection mode, allowing you to check multiple items simultaneously rather than editing each one individually.
- Use filters (category, brand, stock status) to narrow your item list before selecting. Filtering first is especially important when you want to update a specific group of items, such as all items in a particular category or all items from a specific supplier.
- Select the items you want to edit by checking their individual boxes. You can also use Select All to select all visible items after filtering, which is ideal when applying the same change to an entire category or brand.
- Verify the selected items count shown at the top of the screen to ensure you have chosen the correct number of items. Taking a moment to confirm your selection prevents unintended changes to items that should remain unchanged.
- Choose the field you want to update from the dropdown (e.g., Selling Price, Purchase Price, MRP, Category, GST Rate, HSN Code, Low-Stock Threshold). Selecting the right field is critical because the change will be applied uniformly to all selected items.
- Enter the new value for the selected field. For price fields, you can enter a fixed new price or use percentage-based adjustments if available. For category or GST rate fields, select from the existing dropdown options to maintain consistency.
- Review the changes carefully in the preview panel, which shows a before-and-after comparison for each affected item. This is your last chance to catch any errors before the changes are saved permanently.
- Click "Save Changes" to apply the updates to all selected items at once. The system will process the changes and confirm how many items were successfully updated, giving you confidence that the operation completed correctly.
Tip: Filter items by category first to quickly select related items that need the same update. Before making large price changes, consider exporting your current item list as a backup so you can reference the original values if needed.
Common Questions
You can bulk edit common fields such as selling price, purchase price, MRP, item category, GST rate, HSN code, and low-stock threshold. Item names and barcodes must be edited individually as they are unique identifiers. This restriction exists because names and barcodes need to be unique across your inventory, so setting them all to the same value would create conflicts. For fields like GST rate and category, bulk editing is especially powerful during regulatory changes or business reorganizations.
Bulk edits are applied immediately and cannot be undone with a single click. This is why the preview step is so important โ always review the before-and-after comparison carefully before saving. If you need to revert changes, you will have to edit the items again with the original values. To protect yourself, consider exporting your item list before performing bulk edits so you have a reference of the previous values. This is especially useful during large-scale price revisions.
Each bulk edit operation updates one field at a time across all selected items. If you need to update multiple fields โ for example, changing both the selling price and the GST rate โ you would perform two separate bulk edit operations. This approach keeps things simple and reduces the risk of errors. First update one field, verify the changes, and then proceed with the next field. It only takes a few extra seconds but significantly reduces the chance of mistakes.
Yes, when editing a price field in bulk, you can choose a percentage-based adjustment if available. This is especially useful during seasonal price revisions or when supplier costs increase by a uniform percentage, as it automatically calculates the new price for each item based on its current value rather than setting every item to the same fixed amount.
