Delete Items in Bulk
Over time, your inventory may accumulate discontinued products, duplicate entries, or test items that are no longer needed. The Delete Items in Bulk feature lets you select multiple items and remove them from your inventory in one operation. This keeps your item list clean and makes it easier to find active products. Note: deleting items is permanent and items with existing transaction history may be archived instead of fully deleted.
Steps
- Navigate to Inventory > Items from the sidebar to access your complete item list. This is where all your products are managed, and it serves as the starting point for any bulk operation.
- Click the "Select Multiple" or "Bulk Actions" option at the top of the items list. This switches the view into selection mode, where checkboxes appear next to each item for easy multi-select.
- Use filters such as category, stock status, or search keywords to narrow down your item list before selecting. Filtering first ensures you only see items relevant to your cleanup, reducing the chance of accidentally selecting active products.
- Select the items you want to delete by checking their individual boxes. You can also use Select All to select all items visible after applying your filters, which speeds up the process when cleaning out an entire category.
- Double-check the selected items count displayed at the top of the screen to verify you have the right number of items selected before proceeding. This simple verification step can prevent costly mistakes.
- Click "Delete Selected" from the bulk actions menu. This opens a confirmation dialog that lists every item you are about to delete, giving you one last chance to review your selection.
- Review the list of items in the confirmation dialog carefully. Pay special attention to items that may have existing transactions โ these will be flagged as items that will be archived rather than permanently deleted, preserving your financial records.
- Click "Confirm Delete" to permanently remove the selected items from your inventory. Items with transaction history will be moved to the archive instead, keeping your reports and invoices accurate while removing them from your active list.
Tip: Items with existing transaction history (sales, purchases) cannot be permanently deleted โ they will be archived instead. This preserves your financial records and report accuracy. Before performing a bulk delete, consider exporting your current inventory list as a backup so you have a record of what was removed.
Common Questions
Items that are archived (due to existing transactions) can be restored from the archive section. However, items that are permanently deleted cannot be recovered through any means. This is why it is critical to review the confirmation dialog carefully before confirming the deletion. If you frequently need to remove and re-add items, consider using the archive feature instead of deleting, so you can restore items whenever needed without re-entering all their details.
No, existing invoices and reports that reference deleted items will retain their data completely. The items are removed from your active inventory list only, meaning they will no longer appear when creating new sales or purchase entries. All historical records, including past invoices, profit calculations, and GST reports, remain intact and accurate. This design ensures your financial audit trail is never compromised by inventory cleanup operations.
There is no strict limit on the number of items you can delete in a single bulk operation. However, for very large selections (hundreds of items), the operation may take a few moments to process. It is recommended to delete in batches of 50 to 100 items at a time for the smoothest experience. This also gives you better control and reduces the risk of accidentally deleting items you want to keep.
Yes, you can use the category filter, stock status filter, or search keywords to narrow down your item list before selecting items for deletion. Filtering first is highly recommended because it lets you isolate the specific group of items you want to remove, such as all items in a discontinued category, reducing the chance of accidentally selecting active products.
