Party Item-wise Report

The Party Item-wise Report shows a detailed breakdown of all items transacted with a specific customer or supplier. For a customer, you can see exactly which products they buy, how much quantity, and the total value — helping you understand their buying pattern and offer targeted deals. For a supplier, it shows which items you source from them and at what cost — useful when negotiating prices or evaluating whether to switch suppliers. This report is available inside any party's detail page under the Item-wise tab.

Steps

  1. Go to Parties from the sidebar and click on any party name to open their detailed profile. Choosing the right party is the first step, as this report is specific to individual customers or suppliers.
  2. On the party detail page, switch to the Item-wise tab to see a product-level breakdown of all transactions with this party. This view transforms raw transaction data into actionable product insights.
  3. View the list of all items transacted with this party, along with quantity and total value for each item. This summary immediately reveals which products dominate your business relationship with this party.
  4. Sort the list by quantity or value to identify the top items. Sorting by value shows which products generate the most revenue from this customer, while sorting by quantity shows which products they order most frequently — both are important for different business decisions.
  5. Use the Date Range filter to analyze items for a specific period (e.g., last month, last quarter, or last year). Comparing different periods helps you spot changes in buying behavior — for example, whether a customer has stopped ordering a particular product or started ordering new ones.
  6. For customer parties, use the item breakdown to identify cross-selling opportunities. If a customer regularly buys Product A but never Product B (which is commonly purchased alongside A by other customers), you have an opportunity to recommend it.
  7. For supplier parties, compare item-wise costs against other suppliers to evaluate pricing competitiveness. Knowing exactly how much you spend on each item from a specific supplier gives you data-driven leverage during price negotiations.
  8. Click Download to export the item-wise report as PDF or Excel for detailed analysis, sharing with your team, or using during supplier negotiations. The Excel format is particularly useful for further analysis, such as calculating average unit prices or creating purchasing forecasts.

Tip: Use this report to identify your customer's top-purchased items. Offer bundle deals or discounts on those items to increase repeat orders. For suppliers, compare item costs across different suppliers to ensure you are getting the best prices for your most-purchased items.

Common Questions

Yes, open the customer's profile from the Parties section and switch to the Item-wise tab. It shows all items they have purchased from you, sorted by quantity and value. This helps you understand their preferences and tailor your offerings. For example, if you notice a customer consistently buys large quantities of a specific product, you could offer them a bulk discount to secure larger orders, or proactively ensure that product is always in stock when they are likely to order. This data-driven approach to customer management leads to higher satisfaction and repeat business.

The party item-wise report focuses on a single party — showing all items transacted with that specific customer or supplier. The item-wise sales report (under Reports) shows all items across all customers. Use the party report when you want to analyze one party's buying pattern, and the item report when you want an overall view of which products sell the most across your entire business. Think of it this way: the party item-wise report answers 'What does this customer buy?' while the item-wise sales report answers 'What are my best-selling products overall?'

Absolutely. Open your supplier's profile and switch to the Item-wise tab to see exactly which items you purchase from them and the total quantities and values over any time period. This data is powerful during negotiations because it shows the supplier the volume of business you bring them. You can also compare costs for the same items across multiple suppliers by checking the item-wise reports for each. If another supplier offers a better price on a specific item, you have concrete data to negotiate a price match or switch your sourcing for that product. Many business owners review this report before every major supplier meeting.

Yes, use the Date Range filter on the Item-wise tab to select different periods such as last month versus this month or last quarter versus this quarter. Comparing periods helps you spot changes in a customer's buying pattern, like whether they have started ordering more of a specific product or stopped ordering another, so you can adjust your inventory and sales strategy accordingly.
