View Party Details & Transactions

Clicking on any party opens their complete profile with full transaction history. You can see every invoice, payment, and return associated with this party, organized into tabs for different views. The Party Ledger gives you a running balance — like a mini bank statement for your relationship with that party. This is invaluable when a customer disputes a balance or when you need to reconcile accounts at month-end.

Steps

  1. Click on a party name from the Party List to open their profile.
  2. The Transactions tab (default) shows a complete list of all transactions — sales invoices, purchase bills, payments, and returns — with this party.
  3. Switch to the Item-wise tab to see a breakdown of all items transacted with this party — which products they buy or supply and in what quantities.
  4. Switch to the Daily Payments tab to view day-by-day payment activity — track payment-in (received) and payment-out (paid) for each date.
  5. Switch to the Day-wise Reports tab to see all transactions grouped by date — useful for monthly reconciliation.
  6. Click "Party Ledger" to see the full payment history and running balance — like a bank statement for your relationship with this party.
  7. Use the "Download" button to export any of these reports as PDF or Excel for sharing or record-keeping.

Tip: Use the Party Ledger as a statement of account — download and share it with your party to confirm outstanding balances. Use the Item-wise tab to understand buying patterns.

Common Questions

The party detail page has four tabs: (1) Transactions — all invoices, payments, and returns in a single list, (2) Item-wise — breakdown of items transacted with quantities and values, (3) Daily Payments — day-by-day payment tracking, and (4) Day-wise Reports — all transactions grouped by date. Each tab can be filtered by date range and exported as PDF or Excel.

Yes, you can add a new party directly from the invoice creation screen. Simply type a new name in the party field and save the new party details without leaving the invoice page. This saves time when you are billing a new customer.

Go to the Parties section and use the 'Receivable' filter to see all parties who owe you money. Click on any party to see their complete transaction history and outstanding balance. You can also download the party ledger report to share with the customer as a statement of account.
